opensourceCM contracts lifecycle management common questions asked by customers (part I)
Background: opensourceCM is a contracts lifecycle management platform. The service provide a Contract Authoring workflow, Multi language OCR and Indexing, inside the document search, Calendar and notifications workflow, support SSO (single sign on) and encrypted secured access. If you need a Negotiation Deal-Rooms and Users Data-Rooms (internal / External) or Flexible Bidding System with Advance Q&A and API (Application Processes Interface) Library with Google DOCS, BOX.COM, SalesForce, MS-Dynamics, NetSuite, OKTA, QuickBooks, Zoho CRM, Dropbox, DocuSign to mention just a few.
Here are some common questions asked by potential customers:
Would our data be stored in a non-proprietary format?
No. All data is stored in its original upload format whether it’s a word, pdf etc.
Our data would still be ours, and we could remove it if necessary?
Absolutely. Your entire documents including all Meta-data created in the application belongs to you. In the event we determined to terminate the SLA between us we are committed to submit the above to your desired location (on premise server, box.com etc.) Furthermore, we can back up all this information on an hourly, daily, monthly and yearly basis.
What are the charges for the software? Installation? Implementation? All inclusive? Or priced separately?
Charges of our service are separated in to two phases:
- The Proof of Concept phase (PoC). This is a system analysis and set up phase where we help you design and set-up your actual production account. This phase can cost from $3,500-$5,500, depends on the size of the production account. Once our customer is happy from what he gets we move on to the Service Licensing Agreement.
- A yearly licensing fee which is based mainly on:
1. The number of users that will be logging in to our application and any additional features our customers may be interested in. Our business model policy does not differentiate between users "types" (Full user, Read only etc.), all users are full users and it is up to admins of the system to manage the access rights within the application.
2. Any additional features (add-on's) our customer might be interested in such as SSO, integration with SalesForce/Netsuite/or any other application out there, deal room/Bid room capabilities and more.
How long would the implementation process take?
In our PoC document we stipulate that we can implement the production account at no more than 15 working hours provided we receive full cooperation and attention from our client. From our experience that is usually more than enough even in cases of complex accounts. We offer unlimited training and support for the duration of the life of the SLA.
Is training needed for all users? What is the cost?
During the PoC phase the design and training is done to the administrators that you pick up and carefully choose since eventually they will be the ones who will run and manage the system. These people do not have to be lawyers necessarily but rather than "champions" who understand the workflow of contract lifecycle in your organization and who can copy these flow to our application. Eventually, using our knowledge and guidance, they will be able to train other users within your organization. Again, as mentioned before, we offer unlimited training at no additional cost.
